Supporting event planning and security

As the spring semester continues, we remain mindful of the profound impact of the December 13 act of violence on our community. We know that, in its aftermath, planning gatherings, whether large or small, can raise new questions, concerns, and emotions. At the same time, events are a vital part of Brown’s academic, cultural, and civic life. They bring people together for learning, scholarship, dialogue, celebration, and connection, and they remain central to our mission.
With this in mind, we have developed Event Security Planning Guidance and a set of Frequently Asked Questions to support event sponsors, planners, and managers in their goals to conceive and produce secure events. These resources are designed to help events move forward thoughtfully and safely, with preparation and coordination in alignment with standards and resources maintained by the Department of Public Safety and Emergency Management (DPSEM).
Please note these key points from the safety guidance:
  • Early planning matters. The most important step that planners can take is to engage early with stakeholders and Brown offices that support events as service providers. Advance preparation allows campus partners to review logistics, coordinate resources, and support events in a way that is proportionate and responsive.
  • Share event information early with DPSEM. Event planners are not expected to identify security needs on their own. By submitting the Public Safety Event Review form with accurate event information, you enable the DPSEM to assess and determine appropriate safety measures.
  • Use Event Strategy and Management as a resource. The Event Strategy and Management (ESM) team is available for consultation on high-profile events and can advise on venue selection, timing, logistics, and overall event design upon request.
  • Plan for building access and guests. The University continues to require swipe access to most campus buildings while working closely with building and program managers to ensure we can also support the wide range of programs and events at Brown. Event planners should incorporate plans for how non-Brown attendees, such as speakers, guests, or visitors, will enter and move through card-access spaces.
  • Take advantage of the provided practical tools. The guidance includes tips for advancing a secure event, including thoughtful decisions about publicity, use of ticketing or registration, and planning for event flow and attendee experience.
Our goal is to support events through careful, early, and collaborative planning. Preparation matters because it allows our community to gather with confidence and care.
